Terms of Service

1. Agreement to Terms
By accessing or using SportsDevHub ("the Service"), operated from the United Kingdom and Ireland, you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service.
These Terms constitute a legally binding agreement between you and SportsDevHub. The Service is available at sportsdevhub.org.
2. Description of Service
SportsDevHub is a web-based platform that enables sports coaches to:
- Create and manage athlete profiles
- Grade athletes using custom attribute systems
- Set and track performance goals
- Generate AI-powered development blueprints
- Share training resources and videos
- Communicate with athletes via messaging
- Create and manage training sessions
Athletes can view their performance data, track goals, and communicate with their coach via the Athlete Portal. Parents and guardians of under-18 athletes can monitor their child's progress, manage consent, and communicate with their coach via the Parent Portal.
3. Accounts & Registration
3.1 Eligibility
You must be at least 18 years old to create a coach or parent/guardian account. Athletes may be registered at any age, subject to the following consent requirements:
- Under 13: Verified parental or guardian consent required before an athlete account is created. The athlete cannot self-register.
- 13–17: Athlete may self-register, but a parent or guardian will be linked to the account and will have oversight via the Parent Portal.
- 18+: Full account access; no parental consent required.
3.2 Account Security
You are responsible for maintaining the confidentiality of your account credentials. Notify us immediately at support@sportsdevhub.org if you suspect unauthorised access.
3.3 Accuracy
You agree to provide accurate, current, and complete information during registration and to update it as necessary.
3.4 Age Verification
We rely on coaches to provide accurate date-of-birth information for athletes and to obtain appropriate parental or guardian consent where required. We do not independently verify athlete ages. Coaches are solely responsible for ensuring that consent and data-protection obligations are met for all athletes in their care, particularly those under 16 (or under 13 in UK jurisdictions). SportsDevHub applies technical safeguards (consent tiers, under-13 lockouts) as a supplementary control only; these do not remove the coach's legal obligations as data controller.
4. Subscription & Payments
4.1 Free Trial
New coach accounts receive a 14-day free trial. During the trial, you have access to features within the Free tier limits. No payment is required to start.
4.2 Paid Plans
Paid subscriptions are billed monthly in GBP (£) via Stripe. Prices are displayed on our Pricing page. We reserve the right to change prices with 30 days' notice.
4.3 Cancellation
You may cancel your subscription at any time via Settings → Billing. Cancellation takes effect at the end of the current billing period. No refunds are provided for partial months.
4.4 Athlete Limits
Each subscription tier includes a maximum number of active athletes. Exceeding your limit will restrict access to grading and blueprint features for over-limit athletes until you upgrade.
5. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose
- Upload harmful, abusive, or inappropriate content
- Attempt to gain unauthorised access to other accounts or systems
- Interfere with or disrupt the Service or its infrastructure
- Scrape, crawl, or use automated tools to extract data
- Reverse-engineer any part of the Service
- Share your account credentials with others
- Enter false or misleading athlete data
Violation of these terms may result in immediate account suspension or termination.
6. Data Ownership & Intellectual Property
6.1 Your Data
You retain full ownership of all data you enter into SportsDevHub, including athlete profiles, grades, goals, and resources. You may export your data at any time via Settings → Privacy & Data.
6.2 Our Platform
The SportsDevHub platform, including its design, code, features, and branding, is our intellectual property. You may not copy, modify, or distribute any part of the platform without written permission.
6.3 AI-Generated Content
Development blueprints generated by our AI are provided as suggestions only. You are responsible for reviewing and validating any AI-generated plans before applying them to athlete training.
7. Coach Responsibilities
As a coach using SportsDevHub, you agree to:
- Obtain appropriate consent before entering athlete personal data
- Ensure parental/guardian consent for athletes under 16
- Use the platform in accordance with applicable data protection laws
- Not use AI-generated blueprints as a substitute for professional sports science or medical advice
- Maintain the confidentiality of athlete data within your organisation
8. Parental Consent & Minor Athletes
8.1 Parental Consent for Under-13 Athletes
Before an athlete under the age of 13 is registered on SportsDevHub, a parent or guardian must provide explicit, verifiable consent. This consent is recorded with a timestamp and IP address as required by UK GDPR Article 8. By providing consent, the parent or guardian agrees to:
- Allow SportsDevHub to create and maintain an athlete profile for their child
- Allow their child's coach to record performance data, set goals, and communicate via supervised threads
- Receive access to the Parent Portal to monitor their child's data and activity
8.2 Withdrawing Consent
A parent or guardian may withdraw consent at any time by contacting us at privacy@sportsdevhub.org or using the deletion tool in the Parent Portal. Withdrawal of consent will suspend the athlete's account and, upon request, result in deletion of all associated data within 30 days.
8.3 Parent Portal Access
Parents and guardians linked to an under-18 athlete account gain access to the Parent Portal at /parent/dashboard. The Parent Portal allows parents to view their child's performance data, communicate with their coach via supervised threads, manage consent, and request data export or deletion. Access to the Parent Portal is contingent on maintaining an active parent/guardian relationship as verified by the linked coach.
8.4 Safeguarding
In accordance with CPSU/NSPCC safeguarding guidelines, coaches cannot send private 1:1 messages to athletes under 18. All messaging with under-18 athletes is conducted via supervised threads that include the linked parent or guardian. Gamification features are disabled by default for all under-18 athletes, in accordance with ICO Children's Code Standard 12.
9. Data Processing Agreement
This section constitutes the Data Processing Agreement ("DPA") between SportsDevHub and coaches who use the platform, as required by UK GDPR Article 28.
9.1 Roles
When you, as a coach, enter athlete performance data into SportsDevHub (including grades, goals, session records, development blueprints, and any other personal data about athletes), you are the data controller for that data. You determine the purpose and means of collecting and using it. SportsDevHub acts as your data processor, storing and processing that data solely on your behalf and on your instructions.
SportsDevHub is the data controller for coach account data, parent account data, athlete platform accounts (login credentials, session tokens), and consent records.
9.2 SportsDevHub's Obligations as Processor
SportsDevHub agrees to:
- Process athlete performance data only in accordance with your documented instructions and for no other purpose
- Ensure that all personnel with access to personal data are bound by confidentiality obligations
- Implement appropriate technical and organisational security measures (Article 32 UK GDPR) — including encryption, access controls, and row-level security
- Not engage sub-processors without your general consent, and notify you of intended changes — current authorised sub-processors are listed in section 9.4 below
- Assist you in meeting your obligations regarding data subject rights (access, erasure, portability) to the extent technically possible within the platform
- Notify you without undue delay (and in any case within 72 hours) upon becoming aware of a personal data breach affecting athlete data you control
- Delete or return all athlete personal data upon termination of your account, except where retention is required by law
- Make available to you all information necessary to demonstrate compliance with these obligations upon reasonable written request
9.3 Your Obligations as Controller
As the data controller, you agree to:
- Establish and document a lawful basis (e.g. legitimate interest, consent) for processing each athlete's personal data before entering it into the platform
- Obtain appropriate consent or authority from athletes and, where the athlete is under 13, their parent or guardian, before creating an athlete profile
- Provide athletes and parents with adequate privacy notice explaining that their data is processed using SportsDevHub
- Respond to any data subject access, erasure, or portability requests you receive directly from athletes or parents in relation to data you control
- Comply with all applicable data protection law (including UK GDPR and DPA 2018) in your use of the platform
9.4 Sub-processors
By accepting these Terms, you authorise SportsDevHub to engage the following sub-processors to deliver the service:

We will notify you of any intended changes to this sub-processor list via email or in-app notification at least 14 days before the change takes effect. You have the right to object to the addition of a new sub-processor within that period.
9.5 Jurisdiction Declaration
By setting your operating jurisdiction in your Organisation settings, you declare that your coaching activity takes place primarily in that jurisdiction and that you will comply with its applicable laws, including (without limitation) data protection law, child safeguarding law, and any mandatory reporting obligations. If you operate across multiple jurisdictions, you agree to apply the most protective standard that applies to each athlete.
SportsDevHub uses your declared jurisdiction to configure platform defaults (such as the age of digital consent and required vetting clearance type). These defaults assist you in meeting your obligations but do not substitute for independent legal advice or relieve you of any obligation under applicable law.
9.6 Vetting & Safeguarding Representation
By submitting a Safeguarding Declaration in your Settings, you represent and warrant that:
- You currently hold the vetting/disclosure clearance appropriate for your jurisdiction (DBS Enhanced Check, PVG Scheme Membership, AccessNI Enhanced Disclosure, or Garda Vetting as applicable), or that no such clearance is required for your specific role
- You will renew that clearance before it lapses and will update your declaration accordingly
- You have completed safeguarding training appropriate for your jurisdiction and comply with the relevant national guidance (including, where applicable, the ICO Children's Code, GIRFEC, the Children First Act 2015, and CPSU guidelines)
- You will not use the platform to work with under-18 athletes if your clearance lapses, is revoked, or is found to be insufficient for your role
SportsDevHub does not independently verify vetting clearances. Your declaration is self-certified and you remain solely responsible for its accuracy.
9.7 Indemnification
You agree to indemnify, defend, and hold harmless SportsDevHub and its officers, employees, contractors, and agents from and against any claims, liabilities, damages, fines, penalties, costs, and expenses (including reasonable legal fees) arising out of or relating to:
- Your failure to comply with applicable data protection law (including UK GDPR, the DPA 2018, or the Irish Data Protection Act 2018) in your capacity as data controller
- Your failure to hold or maintain appropriate vetting clearance when working with under-18 athletes
- Your failure to comply with applicable child safeguarding legislation, mandatory reporting obligations, or national safeguarding guidance
- Any inaccuracy in the Safeguarding Declaration you have submitted or your failure to update it when your circumstances change
- Any regulatory action taken against SportsDevHub as a direct result of your non-compliance as data controller
This indemnification obligation survives termination of your account.
10. Limitation of Liability
To the maximum extent permitted by law:
- SportsDevHub is provided "as is" without warranties of any kind
- We are not liable for any injuries resulting from training plans or recommendations
- We are not liable for data loss beyond reasonable technical measures
- Our total liability shall not exceed the amount you paid in the 12 months preceding the claim
Nothing in these Terms limits liability for death, personal injury caused by negligence, fraud, or any liability that cannot be excluded by UK law.
11. Account Termination
You may delete your account at any time via Settings → Account. Upon deletion, we will remove all your personal data within 30 days, except where retention is required by law (e.g. payment records for tax purposes).
We reserve the right to suspend or terminate accounts that violate these Terms, with or without prior notice.
12. Governing Law
These Terms are governed by the laws of the United Kingdom. Any disputes shall be subject to the jurisdiction of the courts of the United Kingdom.
If you are based in the Republic of Ireland, you may also bring proceedings in the Irish courts, and Irish consumer protection law will apply where it provides greater protection. If you are based in Scotland or Northern Ireland, nothing in these Terms restricts your right to bring proceedings in your local courts.
13. Changes to Terms
We may update these Terms from time to time. We will notify you of material changes via email or in-app notification at least 30 days before they take effect. Continued use of the Service after changes constitutes acceptance.

When a coach account is closed or an athlete record is deleted, data is soft-deleted immediately (removing it from all coach-facing interfaces) and then permanently purged from our systems after 30 days. This 30-day window exists solely to enable recovery in the event of accidental deletion.
Compliance audit log entries (safeguarding declarations, consent events) are retained for 7 years from creation to meet our regulatory obligations and are not subject to the 30-day purge cycle. If you wish to request erasure of personal data under UK GDPR Article 17, contact privacy@sportsdevhub.org. Note that we may be required to retain certain records to fulfil legal obligations.
16. Online Safety Act 2023
The Online Safety Act 2023 (UK) places duties on certain regulated user-to-user services. SportsDevHub is a closed, access-controlled platform: accounts are created only by invitation from a named coach, athletes cannot interact with other athletes, and all messaging is strictly between a coach and their own athletes.
We believe SportsDevHub falls outside the regulated service categories by virtue of these structural controls, but we are monitoring Ofcom guidance and will update our practices as regulatory clarity develops. Coaches remain responsible for ensuring that all communications made through the platform comply with applicable law and their safeguarding obligations.
